June/July 2010
Boarding Now Complete –
We Are in Flight!
As of July 1, cost center numbers, division codes and financial account codes have officially changed for these Kettering Health Network medical centers: Kettering, Sycamore, Grandview and Southview. This change does not affect Greene Memorial Hospital at this time.
This major change affects our leaders but also employees when clocking in and out; filling out expense reimbursement forms; coding and approving invoices; making deposits at the KH Network Credit Union; and when doing Time & Attendance.
The new system uses a six-digit, unique cost center number that includes the division code.
NEW = CCCC DD – AAAA
[CCCC = Cost Center; DD = Division (location or facility); AAAA = expense account (type of expense)]
Be sure to use the User’s Guide and Conversion Table on the intranet – http://intranet.ketthealth.com/.
The chart of accounts transition is a big change not only for our department or cost center codes, but also our revenue and expense account codes as well. Just a reminder to everyone that when we start using the new cost center numbers for coding in July that we also make sure to use the new revenue and expense codes as well. Here is a quick Old to New reference sheet for the most commonly used account codes with a brief description of their use. For a complete listing of all old to new revenue or expense codes, visit the Finance intranet site:

NOTE: A new deposit form with the new Chart of Accounts under Finance should be used for all deposits taken to the KH Network Credit Union after July 15, 2010. The link is: http://intranet.ketthealth.com/kh/Forms/. Click on Finance Credit Union Deposit Form (Excel).
Let’s Review: Why Are We Doing This?
As KHN continues to grow in size, we have outgrown the current cost center/department numbering system which no longer fits our network’s size and complex structure. In addition, an all-numeric system allows us more flexibility in interfacing with other systems. The transition to the new cost center/account code number system must be complete before the first scheduled Epic go-live in November at Sycamore Medical Center and Kettering Behavioral Medicine Center.
